Airtable

Last checked: 28 September 2026. ToolBino Editorial Team. Vendor-documentation review, not hands-on testing. Example structures and selection criteria below are editorial suggestions.

Our verdict: begin with the relationships in your data

Airtable offers a platform built around structured records, with views, interfaces and automations. Its plans include Free, Team, Business and Enterprise Scale. We would shortlist it when an operational spreadsheet repeats the same customers, assets or projects across multiple sheets and changes must stay consistent.

Do not start by reproducing every spreadsheet tab. First identify the real entities. A customer, an order and a delivery are different records, even when a spreadsheet puts them on the same row. If the team cannot agree on that distinction, migration is likely to preserve the confusion.

Example: an equipment-loan register

Imagine a company lending equipment to staff. Separate equipment, people and loan events. Give each physical item a stable identifier, record who has it, and retain the history when it returns. Do not overwrite yesterday’s borrower with today’s name and call the file a history.

Before building the live system, decide how to handle damaged equipment, a missing return date and two items with the same model name. These exceptions reveal whether the proposed structure represents the actual business. They are more informative than importing hundreds of clean demonstration rows.

Pricing and capacity

The official page displays Team at $20 per user/month billed annually and Business at $45, with custom Enterprise Scale pricing. Billing depends on collaborator roles and plan terms; confirm which invited people are chargeable. Record, attachment, automation and API limits can affect the chosen tier. Consult pricing and the plan documentation.

Estimate growth before subscribing. For example, 40 loan events per working day across 20 working days create 800 event records monthly, even if the equipment list stays small. That is an illustrative workload, not a statement of a plan allowance. Use your actual history and retention needs to compare capacity.

Strengths and limitations

A structured approach can make ownership and relationships easier to inspect. The trade-off is ongoing data design. Inconsistent identifiers, uncontrolled field changes and duplicate records can undermine a polished interface. Assign responsibility for the data model, not only for entering new rows.

Also distinguish convenience from access control. A filtered view is not automatically proof that a user cannot access other records. Verify the exact permission behavior required by the workflow. Avoid entering sensitive real data until the intended access model has been tested.

A small migration pilot

  1. Prepare twenty representative records, including duplicates and missing values.
  2. Write down which fields are required and which record owns each fact.
  3. Import the sample and inspect relationships, dates and identifiers.
  4. Ask an operator to complete a full transaction and correct a mistake.
  5. Check what an external collaborator can see and whether their role is billable.
  6. Export a sample and determine whether its relationships can be reconstructed elsewhere.

Keep the original source while validating the migration. A successful import message does not prove that the business meaning of each field survived.

Alternatives

Notion is worth comparing when long explanations and project knowledge dominate. A conventional spreadsheet may remain sufficient for a short, flat list with one owner. A specialized inventory or CRM product may be preferable when the business needs a mature operational workflow rather than a system it must design.

Can Airtable replace every database?

No universal claim is justified. Evaluate your scale, permissions, integration requirements and recovery needs. Treat the proposed system as an application that needs ownership and maintenance.
