Notion

Last checked: 28 September 2026. Documentation-based review by ToolBino Editorial Team; no hands-on benchmark was performed. Recommendations below are editorial judgments, and the trial exercise is a proposed test.

Our verdict: start with the knowledge problem

Notion combines documents and databases in a shared workspace. Its plans are Free, Plus, Business and Enterprise, with paid access charged per member. The official plan page also distinguishes AI trials from broader AI availability on higher plans. Our view: shortlist it when project decisions are scattered across notes, briefs and separate task lists. Do not adopt it merely to replace every application at once.

A useful small-team workflow

Imagine a design studio delivering three client projects. Give each project one brief, one owner, a delivery date, and a list of decisions awaiting approval. Link tasks to the relevant brief rather than copying instructions into multiple places. Keep a separate internal area for estimates and private notes. This is a proposed structure, not a claim that a particular template or permission is included in every plan.

The critical habit is updating the original record. If employees continue sending final decisions only in chat, a beautifully organized workspace becomes another stale copy. Assign a page owner and a review date to operating procedures. Archive replaced instructions instead of leaving two versions with equally convincing titles.

Pricing and the upgrade decision

The retrieved USD pricing page displays Plus at $10 and Business at $20 per member per month. Confirm the selected billing cycle, local currency and tax before ordering. Free collaboration has limits, and guests have a different access model from members. Some credit-based AI services cost extra. Check the live plan comparison for the exact configuration.

For budgeting, record three separate numbers: paid members, implementation hours, and external services you will still retain. A lower subscription bill is not a saving if someone spends a day each month repairing the workspace. Only upgrade when you can name the constraint it removes.

Where it can fall short

Flexibility creates design work. A workspace with inconsistent status fields, deep page nesting and unclear ownership can be harder to navigate than a modest shared folder. A document-centered approach is also a questionable choice when the primary requirement is a tightly governed operational database or detailed scheduling across many dependent projects. Evaluate that requirement directly rather than assuming another template will solve it.

A five-day evaluation you can repeat

  1. Create one real project using non-sensitive sample data; avoid importing the entire company archive.
  2. Ask someone who did not design the workspace to find the latest approved brief and the next action.
  3. Invite a test collaborator and check exactly what they can see.
  4. Change a deadline and record every place that requires manual correction.
  5. Export representative material and inspect whether another person can read and reuse it.

Record completion time, mistakes and questions. These observations matter more than the number of available templates.

Alternatives and when to choose them

Consider Trello if a visible queue is the main requirement, Asana for task coordination, and Airtable when structured records dominate. Keeping your current documents and adding one simple task board may also be sufficient.

Does paying for AI solve knowledge quality?

No subscription fixes contradictory or outdated source material. First define ownership, access and review dates; then evaluate AI on questions whose correct answers you already know.
