Asana

Last checked: 28 September 2026. ToolBino Editorial Team. This review analyzes vendor documentation; it does not report hands-on testing. The exercises and verdict are our proposed evaluation framework.

Our verdict: evaluate the handoff, not the dashboard

Asana provides task and project management. Its current pricing page lists Personal, Starter, Advanced and enterprise offerings. Personal is described for one or two people; Starter adds capabilities including Timeline and Gantt views, forms and reporting dashboards. We would evaluate it when several people contribute to a deliverable and the team needs explicit ownership and deadlines.

A project tool is most valuable when it removes uncertainty about the next action. If the real problem is unclear scope or missing decisions, buying a more elaborate plan will not resolve it. Write down the handoff that fails today before creating the trial project.

Use case: launch a small-business website

Separate content approval, design, implementation, checkout testing and release into deliverables. Give each an accountable owner. Record the decision needed before work can proceed, rather than treating every task as independent. An approved homepage design is not the same deliverable as a production homepage that works on mobile.

For a useful pilot, deliberately delay a prerequisite. Ask whether the project owner can identify the affected launch work and explain the recovery plan. Then change the responsible person on one deliverable. Check whether instructions, files and acceptance criteria remain clear to the replacement. This exercise tests your process as much as the product.

Pricing

Starter is displayed at $10.99 per user per month billed annually on the official USD page retrieved for this review. Confirm monthly billing, seat requirements, regional pricing and the tier needed for your workflow. AI allowances and higher-level planning features deserve a separate check rather than assuming every feature is included in the entry paid tier. See the official comparison.

For any quote, multiply the paid seats by the full billing commitment. Add migration and training effort. If an annual contract is being considered, first verify that your team actually maintains tasks for a complete work cycle. A discounted year of an unused system is still wasted spend.

Strengths and limitations to examine

The reason to shortlist a structured task system is accountability: an owner, an expected result and a date can be reviewed together. The limitation is administrative overhead. Too many custom statuses, duplicate projects or automated notifications can make important work harder to see. Establish a small vocabulary and use exceptions sparingly.

Do not infer that a colorful report is accurate. Compare a sample of completed tasks with the delivered work. If people mark work complete before review, the report describes button clicks rather than finished outcomes. Agree on completion rules before evaluating reporting.

A measurable buying test

  1. Choose a project with at least two dependent handoffs.
  2. Write acceptance criteria before assigning work.
  3. Ask a new teammate to locate their next action without assistance.
  4. Introduce a delayed approval and observe how the team replans.
  5. Check permissions and a representative export on the intended subscription.
  6. Record weekly administration time alongside time saved.

Our suggested acceptance condition is simple: the project owner should answer what is late, what is blocked and who must act next without building a separate report manually.

Alternatives and FAQ

Trello is worth comparing for a simpler queue. ClickUp is a candidate for broader configuration, while Notion may fit a document-centered team.

Should a five-person team assume the free plan fits?

No. The current Personal page states two users. Check the live plan before inviting the team or budgeting around older free-plan information.
